We are seeking an experienced receptionist to join our team on a part-time basis. The ideal candidate will be professional, organized, and have excellent communication skills. As the first point of contact for our team and clients, you will play a crucial role in representing our company.
Key Responsibilities:
- Greet and welcome clients and visitors with a friendly and professional demeanor, ensuring a positive first impression of the company.
- Answer and direct phone calls promptly and efficiently, taking detailed messages when necessary.
- Manage the reception area, ensuring it is tidy, presentable, and well-stocked with necessary supplies.
- Schedule and confirm appointments for clients and staff, using digital calendar systems to avoid conflicts.
- Handle incoming and outgoing mail and deliveries, including sorting, distributing, and preparing outgoing mail when required.
- Assist with administrative tasks such as filing, data entry, and maintaining accurate and up-to-date records.
- Provide general information about the company and its services to clients, addressing basic inquiries and directing more complex questions to appropriate staff members.
- Coordinate with other departments to ensure smooth operations and effective communication throughout the organization.
- Maintain office security by following safety procedures and controlling access to the building.
- Manage office equipment, including copiers and printers, ensuring they are in working order and scheduling maintenance when needed.
- Assist in preparing meeting rooms for appointments, including setting up audiovisual equipment and arranging refreshments.
- Support the team by assisting with light clerical duties such as document preparation, photocopying, and scanning.
- Maintain a clean and organized reception area, including managing magazines, brochures, and other informational materials.
- Participate in company events and initiatives as needed, supporting the overall team culture and goals.
